Choosing the Right Coach Company for your event – Tips and Hints

Arranging coach hire to get clients to and from an event can be stressful and logistically challenging, especially for large groups of people. It is also just as important to get right as the event itself and will leave a lasting impression on the client if transport has not been a smooth and pleasant experience. The first consideration should be how many people you need to transport and subsequently what size of vehicle or vehicles you will need. Always err on the side of caution and book a few more seats than the numbers you expect to attend in case the total unexpectedly increases. It is better to have a couple of empty seats than not have a seat for everyone attending. Conversely, try not to end up with a half empty coach as this will cost you more.

You may be transporting children or elderly people with specific requirements so a coach with an onboard toilet, air conditioning and maybe even a kitchenette will be invaluable. Always bear in mind whether any members of the group need disabled access as this will need to be discussed with the coach company. Find out what safety features are installed on the coach and make sure they have seat belts, first aid kits and fire extinguishers.

You will be able to keep coach hire costs down by following these simple suggestions. Aim for as few pick up and drop off points as possible. If everyone wants picked up and dropped off at home the costs can escalate very quickly. Don`t be late as this will add to the cost of the working day of the driver and don`t choose a coach with unnecessary luxury extras such as a T.V or video games for a relatively short journey – your passengers won`t reap the benefit but you will still end up paying for it. And don`t be afraid to negotiate a discount, schools and community groups are usually eligible, as are those making a multiple booking. If you need to arrange transport regularly you could look into coach companies offering a loyalty scheme. Event coach hire is an important aspect of organising your event. Discuss your requirements with the coach company, be honest about your budget and you are sure to receive a service that meets all your needs and more.
